This Privacy Policy explains how Slotboard collects, uses, shares, stores, and protects information when you use our trip-planning service, including account features, itinerary slots, file imports, collaboration, flight lookup, and related websites or services.

1. Scope

This policy applies to Slotboard services that link to it. It does not apply to third-party websites, travel providers, airlines, hotels, rental car companies, restaurants, activity providers, payment processors, authentication providers, or other services that have their own privacy policies.

Slotboard is designed to help you organize travel information. Because travel planning can involve personal details, you should only add information that you are comfortable storing in Slotboard and sharing with collaborators you invite.

2. Information you provide

We collect information you provide directly, including:

  • account information, such as your name, email address, account ID, and default time zone;
  • trip information, such as trip names, start dates, end dates, status, images, icons, destinations, destination order, notes, time zones, and location coordinates;
  • itinerary slot information, such as transportation type, flight number, carrier, train or bus details, terminals, gates, arrival and departure locations, dates, times, lodging details, rental car details, reservation details, party size, confirmation numbers, and things to do;
  • files and extracted text, such as PDFs, screenshots, images, itinerary documents, booking confirmations, and the travel details extracted from those files;
  • collaboration information, such as the email addresses of users you invite, trip permissions, viewer or editor roles, and edits made to shared trips;
  • support communications, feedback, survey responses, and any other messages you send us; and
  • billing information if paid features are offered, such as plan selection and payment status. Full payment card details are typically handled by a payment processor rather than stored directly by Slotboard.

3. Information collected automatically

When you use Slotboard, we and our service providers may collect technical and usage information, including IP address, browser type, device type, operating system, pages viewed, links clicked, referring page, session information, authentication events, approximate location inferred from IP address, timestamps, feature usage, error logs, performance data, and security events.

We may use cookies, local storage, and similar technologies to keep you signed in, maintain user interface preferences, remember session state, protect the service, understand feature usage, and improve performance. For example, interface state such as a sidebar preference may be stored in a cookie.

4. Information from third parties

We may receive information from third-party services that help operate Slotboard. This can include authentication profile details from our sign-in provider, payment and subscription status from payment processors, flight information from aviation data providers, geocoding or location results from map and location services, and results from artificial intelligence providers used for file import and extraction.

If another user invites you to a shared trip, we may receive your email address, role, and trip access information from that user's actions.

5. How we use information

We use information to:

  • create, authenticate, secure, and manage accounts;
  • provide core trip-planning features, including trips, destinations, itinerary slots, notes, time zones, and sharing;
  • process uploaded PDFs and images, extract itinerary details, prefill slots, and let you review and save imported data;
  • search for flight details, resolve locations, infer time zones, and display useful travel context;
  • enable collaboration, invitations, viewer and editor roles, and access controls;
  • send transactional messages, security notices, support replies, and important service updates;
  • operate, troubleshoot, test, analyze, and improve Slotboard;
  • detect, prevent, investigate, and respond to fraud, abuse, security incidents, unauthorized access, and policy violations;
  • comply with legal obligations, enforce our terms, preserve records, and protect rights; and
  • process billing, subscriptions, tax records, and account administration if paid features are offered.

6. AI and file import processing

When you use file import features, Slotboard may extract text from a PDF, process an uploaded image, send relevant file contents or image data to an artificial intelligence provider, and receive structured itinerary fields in response. We use this processing to prefill trip or slot details for your review.

You should avoid uploading files that contain unnecessary sensitive information, such as passport numbers, government IDs, payment card numbers, medical information, or information about other people unless you have permission and the information is needed for trip planning.

7. How we share information

We do not sell your personal information. We may share information in the following circumstances:

  • with collaborators you choose to invite to a trip, according to the access role you assign;
  • with service providers that host, store, process, secure, analyze, or support Slotboard;
  • with authentication providers for account creation, sign-in, session management, and security;
  • with artificial intelligence providers when you use import or extraction features;
  • with flight, location, geocoding, time zone, map, or travel-data providers when needed to perform a feature you request;
  • with payment processors, tax, accounting, or subscription vendors if paid features are offered;
  • with professional advisors, auditors, insurers, legal counsel, or security consultants where reasonably necessary;
  • with law enforcement, regulators, courts, or other parties where we believe disclosure is required by law or needed to protect rights, safety, or security;
  • in connection with a merger, acquisition, financing, reorganization, bankruptcy, asset sale, or similar business transaction; and
  • with your consent or at your direction.

8. Shared trips and collaborator visibility

If you invite someone to a trip, they may see information in that trip, including dates, destinations, notes, slot details, confirmation numbers, transportation and lodging information, reservations, and other personal travel details. Editors may also change trip information.

You are responsible for managing access to trips you own or control. Remove collaborators when they no longer need access, and avoid inviting people who should not see the trip information.

9. Cookies and similar technologies

Slotboard may use strictly necessary cookies and local storage for authentication, security, session continuity, and interface preferences. We may also use analytics or performance technologies to understand how the service is used and improve reliability.

Browser settings may let you block or delete cookies, but doing so may prevent sign-in, account features, protected routes, or interface preferences from working correctly.

10. Data retention

We keep personal information for as long as needed to provide Slotboard, maintain your account, support shared trips, comply with legal obligations, resolve disputes, enforce agreements, secure the service, and maintain backups.

Trip content is generally retained while your account is active or while the trip remains shared with authorized users. If you delete a trip, close your account, or request deletion, we will delete or de-identify information according to our retention practices unless we need to keep it for legal, security, fraud-prevention, backup, accounting, or legitimate business reasons.

11. Security

We use reasonable technical and organizational safeguards designed to protect personal information, including access controls, authentication, protected routes, provider-managed account security, and operational monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

You can help protect your information by keeping your account credentials secure, using strong authentication methods, reviewing collaborators, and contacting us promptly if you suspect unauthorized access.

12. International transfers

Slotboard and its service providers may process and store information in the United States, Canada, and other countries where we or our providers operate. Privacy laws in those locations may differ from the laws where you live. Where required, we use appropriate safeguards for cross-border transfers.

13. Your choices and rights

You may be able to access, update, export, delete, or correct certain information directly in Slotboard. You can also manage trip sharing by inviting or removing collaborators and assigning viewer or editor roles.

Depending on where you live, you may have legal rights to request access, correction, deletion, portability, restriction, objection, or withdrawal of consent for certain processing. You may also have the right to appeal a decision or complain to a data protection authority. To make a privacy request, contact us using the details below. We may need to verify your identity before responding.

14. Regional notices

If you are in a jurisdiction with specific privacy laws, such as Canada, the European Economic Area, the United Kingdom, California, or another U.S. state with consumer privacy rights, you may have additional rights under those laws. We will honor applicable rights requests as required.

Slotboard does not sell personal information as the term is commonly understood. If we ever use advertising or analytics practices that qualify as a “sale,” “share,” or targeted advertising under applicable law, we will provide required notices and choices.

15. Children

Slotboard is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to Slotboard, contact us and we will take appropriate steps to delete it.

16. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will use reasonable efforts to notify you, such as by posting the updated policy, changing the “Last updated” date, or sending notice through the service or by email. Your continued use of Slotboard after an update means the revised policy applies to information handled after the effective date, unless applicable law requires otherwise.
